Duties and Responsibilities
Reporting to the Manager of Communications, this position is part of CNA's Marketing and Communications team and supports the development and maintenance of the college's SharePoint Online intranet portal. Working alongside a second Intranet Specialist, the role contributes to building and managing a centralized platform for internal communications and collaboration. This is not a core IT role. The focus is on creating clear, engaging, and well-organized content. Strong writing skills, an eye for design, and the ability to present information in a user-friendly way are essential. The ideal candidate is comfortable working in digital environments and thrives in a collaborative, detail-oriented setting.
- Work collaboratively with a second Intranet Specialist to build and maintain the college's SharePoint Online intranet portal, currently in the design phase, which will serve as a central hub for internal communications and collaboration.
- Create SharePoint Online communication sites and support departments in developing Teams sites that meet employee needs.
- Organize and maintain document libraries to ensure efficient access and sharing of information.
- Develop and manage widgets and other features to ensure the intranet is user-friendly, up to date, and a reliable source of college-wide information for employees.
- Work closely with departments to identify requirements as well as gather content that is relevant and up to date.
- Manage user permissions and site security in alignment with institutional policies.
- Provide technical support and insight into furthering the intranet portal for future internal communications purposes.
- Regularly review analytics to optimize user experience and content engagement.
- Other related duties as required.
Screening Criteria
- Diploma in Software Development or Enterprise Web Development (equivalencies will be considered).
- Relevant work experience with SharePoint Online, such as site administration, content management, or intranet support and maintenance.
- Relevant work experience with security practices in an IT environment (ie: information management, user access management, permissions, and security protocols).
- Relevant work experience with SharePoint Framework (asset).
Assessment Criteria
- Knowledge of SharePoint Online and related technologies.
- Knowledge of digital content best practices, including plain language writing and information architecture.
- Knowledge of user experience (UX) principles and accessible design for digital content.
- Knowledge of IT security best practices, including information management, user access controls, permissions, and security protocols
- Analytical skills to review analytics and make improvements to content quality and usability.
- Organizational and time management skills with the ability to plan, prioritize, and meet deadlines.
- Ability to communicate and work effectively with cross-functional teams and stakeholders.
- Ability to work independently with minimal supervision.
